Website Project Manager brief
Project: Back Up website redevelopment
Overview
Back Up is a UK charity partnering with people affected by spinal cord injury to unlock new possibilities, build confidence, and live life to the full. We are seeking an experienced website project manager to support the final stages of the procurement process of a digital agency and to work in partnership with the appointed agency to deliver a new website for Back Up.
This role will be responsible for working with internal stakeholders to identifying and secure a suitable agency partner, and then lead the management of the full lifecycle of the project through discovery, design, build, launch, post launch troubleshooting and evaluation.
The successful candidate will act as the primary liaison between Back Up and the appointed agency, ensuring the project is delivered on time, within budget (including updates to the funder), and aligned with organisational goals.
Objectives
- Procure a high-quality and experienced digital agency partner through a structured and transparent procurement process ensuring they meet our requirements
- Deliver a modern, accessible, and user-centred website
- Improve user journeys for key audiences (people affected by spinal cord injury, fundraisers/supporters and professionals)
- Ensure the site supports organisational growth, fundraising, and service delivery
Scope of Work
1. Procurement & agency selection
- Develop evaluation criteria, and scoring framework
- Support agency Q&A and clarifications
- Evaluate proposals against agreed criteria
- Lead contract negotiation and onboarding of selected agency
2. Project planning and governance
- Refine project plan, timeline, and key milestones
- Attend the digital transformation project meeting to update on the website project
- Define roles, responsibilities, and governance structure for the website project meetings
- Set up reporting, risk management, and issue resolution processes
- Ensure alignment with internal stakeholders and senior leadership
3. Discovery phase
- Work with Back Up Services team to identify and contact service users that could be involved in user discovery workshops and testing
- Work with agency to define user needs, personas, and journeys
- Work with digital agency to organise and deliver stakeholder workshops to inform design and content structure
- Support content audit, information architecture development, migration and content development
- Ensure alignment with Back Up’s strategy, brand, and accessibility standards
4. Design & UX
- Oversee design process to ensure user-centred approach
- Provide critical review and challenge of agency outputs
- Ensure accessibility (WCAG), inclusivity, and best practice UX
- Coordinate internal feedback and approvals
5. Development & Implementation
- Monitor build progress against agreed scope and timelines
- Ensure technical quality, performance, SEO, and CMS usability
- Oversee integrations (e.g. CRM, donations, third-party tools)
- Coordinate content migration planning
6. Testing & Launch
- Define and manage testing plan (UAT, accessibility, performance)
- Ensure all issues are resolved prior to launch
- Oversee launch planning, including risk mitigation and rollback plans
- Support internal readiness (training, documentation, handover)
- Work with communications and marketing team to plan communications to stakeholders about new website
7. Post-launch
- Support initial optimisation and troubleshooting
- Review performance against objectives
- Provide recommendations for ongoing development and improvement
Experience and skills required
- Proven experience delivering similar website redevelopment projects (ideally in charity or public sector)
- Strong experience running digital agency procurement processes
- Expertise in UX, accessibility, and content-led websites
- Understanding of CMS platforms and integrations
- Excellent stakeholder management and communication skills
- Ability to challenge constructively and drive quality outcomes
- Strong content writing and presentation skills
- Experience of managing developing and managing google ads to support communications and marketing team

Working Arrangements
- Working 2-3 days a week working remotely with occasional travel to the office
- Reporting to the Director of Communications and Marketing with a weekly check in meeting
