Croydon Almshouses is the oldest charity in Croydon. For over 550 years, they have been supporting people who experience the impact of poverty. Since 1447 they have offered almshouses, including Elis David Almshouses, a modern purpose-built block of 55 almshouses in South Croydon. For the last 40 years, they have also awarded grants to community groups and individuals of all ages across Croydon who are in need, or facing distress or hardship, and to local and national organisations which help them.

At the heart of everything is ‘community’. This is an exciting time to join Croydon Almshouses as their 2024-2028 strategy Do More, Do Better aims to take them into the next chapter by expanding operations to enhance impact in local communities.

The role

The Executive Assistant to CEO & Governance Lead will provide support to the Chief Executive Officer to fulfil her responsibilities and enhance her effectiveness. This will also include working closely with the Board of Trustees and the Senior Leadership Team.

Key responsibilities

Executive Support & Diary Management: Manage the CEO’s diary, prepare for meetings, maintain action logs, and provide proactive support in work planning.
Governance & Administration: Organise and service Board, Committee, and staff meetings, including agendas, minute-taking, follow-ups on actions, ensuring compliance with governing documents and charity law. The role will line manage a Senior Administrator and facilitate trustee recruitment, induction and development.

Safeguarding and Data Protection: Ensure data protection and safeguarding legislation are adhered to, embedding law in policies/procedures (training provided).

Operations & HR Management: Oversee office operations, supplier contracts, data protection compliance, HR functions, and staff development.
Project & Budget Management: Supports and sometimes leads projects, manages a small budget, and ensures cost-effective procurement of services and equipment.

To be successful in this role, you will need to demonstrate the following skills and experience:

Significant experience of administration, particularly servicing a Board and Committees
Significant experience in providing support to a senior executive, preferably as an EA
Excellent communication skills – both written and verbal
Exceptional organisation skills and attention to detail
Excellent working knowledge of Microsoft Office

JOB PURPOSE

The Passage’s philanthropy portfolio has grown significantly over the last three years through dedicated relationship management and compelling applications that have brought to life the fantastic work and outcomes achieved by The Passage’s services. A recent audit of our Trusts and Foundations programme identified further opportunities for growth with both newly created and well-established funders.

The Passage’s new three-year strategy, The Art of the Possible, is based around the themes of prevention, convening and sustaining, and highlights the importance of collaboration. The Fundraising, Communications and Trading team are seeking a passionate, articulate, and experienced individual to further enhance and sustain our trusts and foundations income stream so that The Passage can support more people to find a place to call home.

We are looking for a motivated and creative individual to join our high performing and fast-paced Fundraising, Communications and Trading team at an incredibly exciting time. The impact of the cost-of-living crisis means that there continue to be vital new projects that need funding, and we believe that there are further opportunities for growth to support these.

The Trusts and Foundations Manager is responsible for driving income generation from charitable trusts and foundations. This position requires a strategic thinker with strong writing skills, attention to details and the ability to work collaboratively across all departments to gather insights, data, and case studies to demonstrate the value and effectiveness of The Passage’s work.

MAIN TASKS AND DUTIES

Lead relationships with a portfolio of trusts, foundations, and other grant-making bodies to establish a robust pipeline of sustainable income
Support the Senior Philanthropy Manager to steward and prepare reports for a number of high-value funders
Research and identify new trust and grant donors and cultivate relationships to grow the existing portfolio and generate additional income
Provide effective stewardship of existing trust donors and prospects to ensure repeat gifts and to increase support where relevant
Create innovative opportunities and develop funding proposals that match funding opportunities to The Passage’s range of services
Prepare and submit all reporting requirements as required by donors.

Prospecting and Account Management

Research, identify and approach prospective new and existing trust and grant donors and engage them in supporting The Passage
Develop an annual prospect pipeline with the aim of securing sustainable, multi-year income
Lead an exemplary stewardship programme for supporters through effective account management to maximise income and establish donor loyalty.

Bid development:

Prepare high quality and innovative funding proposals
Actively seek opportunities that will support the wide range of services provided by The Passage and convert these into compelling funding applications
Work collaboratively with Passage colleagues to gain a sound knowledge of service provision and encourage their involvement in the development of funding proposals.

Budgets and planning:

Support the Senior Philanthropy Manager to prepare accurate annual budgets, forecasts, and income phasing
Work with the Senior Philanthropy Manager and Head of Development to regularly review performance, report variances against budget and undertake contingency planning to minimise risk

Monitor performance against agreed KPIs to ensure activity is on track.

Reporting:

Manage a robust evaluation and monitoring programme for all trust and grant donors, ensuring appropriate, accurate and timely return of external reports including those required as a condition of the funding.
Monitor a range of KPI and financial reports suitable for use across a range of internal audiences and report back to the Senior Philanthropy Manager
Maintain accurate records on the Salesforce database and ensure donor records are compliant.

Key Accountabilities

Digital Technology Solution Implementation and Support

 The main responsibility of the role is to help teams across Care & Support Service delivery make the best use of technology in their work.

 Collaborate with the Digital Technology team to design and deliver comprehensive guides for digital tools and systems, including Sona and the Care Planning system.

 Assess the digital proficiency of staff and create tailored training plans to bridge skill gaps.  Act as the primary point of contact for Care & Support staff seeking support with digital tools,

ensuring systems are used effectively to enhance care delivery, record-keeping, and operational efficiency.

 Assist in testing and validation processes for technological systems to ensure they meet organisational requirements.

 Provide first-line support for technical queries, escalating complex issues to SaaS providers or the Digital Technology Manager as needed.

 You will play a crucial part in care delivery by ensuring that the Care Planning system works well, care records are regularly reviewed through on-going assessment, planning, implementation and evaluation.

 Your duties will include maintaining the Care Planning system, supporting the C&S Managers in the auditing and reviewing care records.

 Handle basic troubleshooting, resolves common systems’ problems, and provides guidance to users on using systems.

 As part of your role, you will be expected to provide support during the migration to Microsoft 365.

C&S Systems Administration and Development

 Oversee the Digital Inbox, triaging queries, and ensuring timely resolution or escalation.  Support the day-to-day administration of digital software platforms for Care & Support.  Participate in data cleansing, migration to maintain accurate and useful datasets.  Assist in refining system requirement specifications, ensuring alignment with Care & Support needs.  Configure and set up hardware devices (e.g., mobile phones, tablets) for use with digital systems as

Documentation and Policies

About the role

This pivotal role will drive organisation’s digital maturity, overseeing the implementation of key systems such as Digital Care Records, Time-Attendance, M365, and other business-critical platforms. You’ll work collaboratively with senior leaders and operational teams to deliver projects that improve efficiency, streamline processes, and foster a culture of digital confidence across the organisation.

Given the nature of our services, we’re particularly looking for someone with experience in the Care Sector or a related field such as healthcare or social work, who understands the operational and regulatory complexities of delivering frontline care. The first major project you’ll lead will be the implementation of a new digital care records system, and sector insight will be key to ensuring success from the outset. Reporting directly to the executive Director of People and Corporate Services, you will be working very closely with internal and external stakeholders, as well as managing the Care and Support Technology Officer.

Key Responsibilities

Lead the delivery of Outward’s digital transformation strategy, ensuring alignment with organisational objectives.
Manage end-to-end project implementation, developing systems such as digital care records - Nourish, M365, etc.
Work with teams to design and deliver training programmes that improve digital literacy and enable effective system use.
Ensure seamless integration and ongoing optimisation of digital systems across the organisation.
Identifying, managing risks and implementing effective solutions.
Use data and analytics to drive decision-making, monitor performance, and demonstrate impact.
Develop processes to monitor system performance, troubleshoot issues, and manage system upgrades.
Ensure systems are configured to capture and report key performance indicators, enabling data-driven decision-making.

Essential:

Degree in IT, Computer Science, or a related field, or equivalent professional experience.
Proven experience leading digital transformation projects, including successful systems implementation and embedding.
Demonstrable experience and knowledge of systems development, integration, and maintenance—including platforms such as Care Records (e.g. Nourish) and Time & Attendance systems (e.g. Sona).
Excellent project management skills, including planning, budgeting, and stakeholder engagement.
Strong analytical and problem-solving abilities, with experience in identifying risks and implementing effective solutions.
Established experience in producing both high-level strategic and operational reports, using data and appropriate reporting tools.
In-depth knowledge of digital systems, including M365 and other business-critical platforms.
Strong understanding of data security, compliance, and regulatory standards (e.g. GDPR).
Exceptional communication skills, with the ability to convey technical concepts clearly to both technical and non-technical audiences.

Desirable:

Project management certifications (e.g., PRINCE2, Agile, or PMP).
Experience in the care or non-profit sector.
